Rep Profile

Focused deal triage, performance, tasks, meetings, and manager messaging for sales reps.

The Rep profile loops sales reps into the manager workflows SMVue already supports, using their scoped CRM, pipeline, meeting, performance, and task data. It is a free, unlimited permission profile — not a purchased seat — and it is intentionally not a replacement CRM.

What You Get

What You Don't Get

The Rep profile has a narrow participation boundary over its own data:

Reps can reply to manager conversations and change the status of eligible tasks assigned to them. Manager controls, CRM administration, team analytics, and other reps' data remain unavailable.

The Rep profile is for:

  • Sales reps (AEs, SDRs, CSMs)
  • Anyone being coached by a manager with SMVue
  • Team members who need to see their own performance

Action Items

What you see:

  • Server-paginated work assigned to you, with overdue, due-today, this-week, status, priority, due-window, tag, and search controls
  • Open, in-progress, completed, cancelled, and carried-over states without collapsing terminal work

What you can do:

  • Mark eligible items in progress or complete
  • Add a response from the item drawer so follow-through stays with the assignment
  • View item details
  • Open linked deals or meetings

Upcoming Meetings

What you see:

  • Scheduled 1:1s with your manager
  • Meeting type and date/time
  • Join link (if calendar connected)

What you can do:

  • View meeting details
  • Join meeting from calendar link
  • See past meeting notes (read-only)
  • Retry an unavailable meeting list or detail view without losing your place
  • Open an agenda action item directly in the Action Items workspace

When a manager schedules a meeting, SMVue also creates an in-app notification when your notification preferences allow it.

Performance Summary

What you see:

  • Personal quota and progress
  • Open pipeline value and deal count
  • Win rate and average deal size
  • Forecast, coverage to quota gap, at-risk pipeline, and stale deals

What you can do:

  • Switch between month, quarter, and year periods
  • Track your own performance
  • Compare against the prior period and see pacing/attainment-trend context
  • Identify areas to improve

Inbox

What you see:

  • Participant-scoped conversations with your manager
  • Deal, meeting, task, and status-update context carried with the thread
  • Read/unread state and paginated message history

What you can do:

  • Search, filter, sort, and mark conversations read or unread
  • Reply with a thread-specific draft
  • Jump to the linked deal, action item, or meeting

Deal Update Requests

When your manager requests a deal update:

  1. Notification — You receive email and in-app notification
  2. Open Conversation — The notification links to the exact Inbox thread
  3. Reply — Send the current state, next step, timing, or blocker in the thread
  4. Completion — The first qualifying Rep reply completes the pending request and notifies the manager

Why This Matters:

  • Keeps manager informed without constant check-ins
  • Shows you own your pipeline
  • Demonstrates proactive communication

Rep Profile Limitations

Cannot Access:

  • Team-wide data or analytics
  • Other reps' pipelines or performance
  • Meeting Prep and Sales Coach unless a purchased Sales Coach for Reps add-on is assigned
  • Notebooks and Skills administration
  • Workspace settings

Cannot Create:

  • Action items
  • Meetings
  • Notes or pages
  • Skill assessments

Read-Only Context:

  • Meeting notes from 1:1s
  • Deal, performance, and meeting data synced or maintained by managers

Narrow Write Access:

  • Replies in participant-scoped Inbox threads
  • Responses plus in-progress/completed status on eligible action items assigned to the rep

Optional Sales Coach Add-on

The six primary Rep surfaces stay the same. If the workspace purchases and assigns a Sales Coach for Reps seat, a floating Sales Coach launcher appears and the Coach scopes its answers to that rep's authorized context. Without that assignment, no Coach control is shown.

Inviting Reps

An Owner or Admin invites a rep from Settings → Team:

  1. Go to Settings → Team
  2. Click Invite Member
  3. Enter the rep's email
  4. Assign the Rep profile
  5. Confirm the matching Team record and reporting manager
  6. Send invitation

Once the email is entered, the invite dialog checks for a CRM-owner match — an existing synced CRM assignee with that email, shown with their title and open-deal count for the inviter to confirm or skip — or offers a manual name/email search when no automatic match fires. The match is never automatic: acceptance re-validates it before linking, so the rep lands with their own deals, meetings, and performance history visible from day one rather than the empty own-book floor.

Rep receives:

  • Email invitation
  • Link to create account
  • Access to their personal dashboard in the invited workspace; acceptance switches them into that workspace automatically

Removing or Restoring Rep Access

Archive a linked Team member before removing their access. Archiving preserves historical deals, meetings, notes, and action items while revoking the rep's active sessions. A Team member that is still linked to a user cannot be hard-deleted.

Restoring a rep requires re-assigning the Rep profile and relinks the membership to the same Team identity. Managers and Executives cannot be linked as Rep identities.

Always Free:

  • No limit on the number of Rep profiles

  • No additional cost — it is a permission profile, not a billed seat

Privacy & Transparency

What Reps Can See

Reps see their own data only:

  • Their deals and pipeline
  • Their meetings and action items
  • Their performance metrics
  • Their manager conversations and linked update requests

What Reps Cannot See

Reps cannot see:

  • Other reps' data
  • Manager coaching notes (unless shared)
  • Team-wide analytics
  • Confidential manager insights

Philosophy: Transparency builds trust. Reps should see how they're evaluated.

Best Practices for Reps

Check Dashboard Daily

  • Review open action items
  • Mark completed items
  • Prepare for upcoming 1:1s

Respond to Update Requests Promptly

  • Manager needs your input to coach effectively
  • Shows ownership of your pipeline
  • Prevents surprises in 1:1s

Review Meeting Notes

  • See what was discussed last time
  • Track your own progress
  • Hold yourself accountable to commitments

Act on Coaching Follow-Through

  • Review the meetings and task context your manager shares
  • Use Inbox to clarify next steps or blockers
  • Keep assigned work current so your manager sees the real status

Moving from Rep to the Leader Seat

If a rep becomes a manager:

  1. An Owner or Admin grants them the Leader seat (independently of any profile change) from Settings → Team
  2. They gain full coaching access
  3. Can now coach other reps
  4. Requires an available Leader seat under the purchased ceiling (may need to purchase one)

Data Preserved:

  • All historical data retained
  • Meeting notes and action items remain
  • Now can see the team they manage
